Minor Athlete Accommodation and Parent-Appointed Chaperone Declaration

1. Background

Karate Australia's preferred arrangement is that the parent or legal guardian of every minor athlete stays with their child at the official team hotel throughout the National Team program. This Declaration only applies where a parent or legal guardian elects not to do so. The athlete will remain accommodated at the official Karate Australia team hotel while the parent resides elsewhere.

2. Purpose

This Declaration records the responsibilities of the parent, the parent-appointed chaperone and Karate Australia where a minor athlete is accommodated at the official team hotel without their parent or legal guardian staying at that hotel.

3. Nature of the Arrangement

The appointment of a chaperone is a private arrangement between the parent or legal guardian and the nominated adult. The nominated chaperone does not become an employee, contractor, volunteer or representative of Karate Australia by signing this Declaration. Karate Australia acknowledges the arrangement solely for athlete welfare and team management purposes.

Nothing in this Declaration transfers or delegates parental responsibility from the parent or legal guardian to Karate Australia. The parent or legal guardian remains responsible for the care, supervision and welfare of their child outside Official Team Activities, whether that responsibility is exercised personally or through a parent-appointed chaperone.

4. Parent Responsibilities

· Nominate a suitable adult chaperone whose appointment is acknowledged by Karate Australia.

· Remain ultimately responsible for the welfare and decisions relating to their child outside Official Team Activities.

· Ensure the athlete attends all Official Team Activities on time.

· Remain contactable at all times.

· Advise Team Management immediately of any change affecting the athlete.

5. Parent-Appointed Chaperone Responsibilities

· Provide appropriate supervision outside Official Team Activities.

· Remain contactable throughout the tour.

· Ensure the athlete complies with hotel rules, curfews and Team Management directions.

· Notify Team Management immediately of any illness, injury, safeguarding concern or emergency.

· Comply with all applicable Karate Australia policies.

6. Karate Australia Responsibilities

Karate Australia is responsible for the management and supervision of athletes during Official Team Activities, including training sessions, team meetings, competition, official transport, ceremonies and any other activity designated by Team Management. Outside Official Team Activities, responsibility rests with the parent or the parent-appointed chaperone.

7. Athlete Responsibilities

· Comply with National Team rules and directions.

· Reside at the official team hotel unless otherwise approved by Team Management.

· Observe reporting times and curfews.

· Conduct themselves in a manner that upholds the reputation of Karate Australia.

8. Applicable Policies

The parent, athlete and chaperone acknowledge that they are bound by all applicable Karate Australia policies, including the National Integrity Framework, Child Safeguarding Policy, Member Protection Policy, National Team Code of Conduct and all Tour Information issued by Karate Australia.

9. Karate Australia Discretion

Karate Australia may decline to acknowledge, or may withdraw its acknowledgement of, a nominated chaperone where it reasonably considers the arrangement may compromise athlete safety, welfare, safeguarding obligations or the effective management of the National Team. In such circumstances, Karate Australia may require the parent or legal guardian to personally supervise the athlete in order for the athlete to remain on the tour.
